Privacy Policy

Effective Date: June 2026

Embodied Wisdom Partners (“I”, “me”, “my”) is committed to protecting your personal information and treating it with the same care, respect, and confidentiality I expect for my own. This Privacy Policy explains what information I collect, why I collect it, how it is used, and the rights you have over your data.

1. Who Is Responsible for Your Data

Embodied Wisdom Partners is the data controller responsible for handling your personal information.

If you have questions about this policy or how your information is used, you can contact me at:

Email: nesh@embodiedwisdompartners.com

Email is the most reliable way to reach me regarding privacy matters.

2. Information I Collect

I only collect information that is genuinely necessary to communicate with you, deliver my services, and organise Explorations responsibly.

You may provide personal information when you:

  • Contact me

  • Apply for Private Mentorship

  • Register for an Exploration

  • Subscribe to receive updates

  • Complete forms related to participation or wellbeing

Depending on how you interact with me, I may collect:

  • Your name

  • Email address

  • Phone number

  • Country of residence

  • Information submitted through contact, application, or registration forms

  • Payment information (processed securely by trusted third‑party providers)

  • Emergency contact details where appropriate

I may also collect health or wellbeing information that you voluntarily provide if it is relevant to your participation, such as:

  • Allergies or dietary needs

  • Injuries or physical conditions

  • Medical conditions or medications

  • Mental health history or trauma history, where you choose to share it

  • Accessibility requirements or other information needed to support your safe participation

Under EU data protection law, certain types of information (including health information, mental health information, and trauma history) are considered special category data. I treat this information as sensitive and handle it with additional care.

For Private Mentorship and 1:1 sessions, I may keep brief, confidential session notes to support our work together. These notes are used only for your care and for my professional records. They are stored securely and are not shared with anyone unless required by law or with your explicit consent. Occasionally, I may discuss anonymised aspects of my work in professional supervision or consultation; in those cases, identifying details are removed so that you cannot be recognised.

If sessions are recorded (audio or video), this is only done with your explicit prior consent. Recordings are stored securely and deleted according to the retention period we agree.

I do not collect information that is unnecessary for the services you request.

3. How Your Information Is Used

Your information is used only for purposes directly connected to the services you choose to engage with. This includes:

  • Responding to enquiries

  • Reviewing applications for Private Mentorship or Explorations

  • Organising and administering Explorations

  • Communicating before, during, and after our work together

  • Providing Private Mentorship and 1:1 sessions

  • Sending updates about future offerings (only if you’ve opted in)

  • Maintaining records for legal, accounting, and administrative purposes

Health or wellbeing information is used solely to assess suitability, support participant safety, and deliver Explorations and Private Mentorship responsibly.

I do not use your information for unrelated purposes, marketing list swaps, or advertising profiling.

4. Legal Basis for Processing

I process your personal information under the following legal bases:

  • Contractual necessity — to deliver Private Mentorship, 1:1 sessions, or Explorations you have booked.

  • Legitimate interest — to respond to enquiries, manage administrative processes, and operate my business in a reasonable way.

  • Legal obligation — to maintain records required for accounting, tax, or other legal purposes.

  • Consent — when you subscribe to updates or voluntarily provide sensitive information.

Sensitive Information (Health Data)
Where you voluntarily provide health or wellbeing information, I process it under:

  • GDPR Article 9(2)(a) — your explicit consent.

  • GDPR Article 9(2)(h) — where necessary to support your safe participation and the provision of health‑related services.

Health or wellbeing information is treated as special category data under EU data protection law. This information is handled confidentially and only for the purposes stated.

5. Sharing Your Information

I do not sell, rent, or trade your personal information.

Your information is shared only when necessary with trusted service providers who help me operate my business, such as:

  • Website hosting

  • Email delivery services

  • Payment processors (e.g., Stripe, PayPal)

  • Scheduling or registration platforms

  • Analytics tools (e.g., Google Analytics)

These providers act as data processors and are required to protect your information appropriately.

If I am legally required to disclose information—for example, to comply with a lawful request from a public authority—I will comply with that obligation.

6. International Data Transfers

Some service providers may process or store information outside your country of residence (including within or outside the EU, UK, or US).

Where this occurs, I take reasonable steps to ensure appropriate safeguards are in place in accordance with applicable data protection laws. This may include:

  • Using providers certified under recognised frameworks (such as the EU–US Data Privacy Framework), where applicable; and/or

  • Using Standard Contractual Clauses or other legally approved mechanisms for international data transfer.

If you would like more details about how and where your data may be transferred, you are welcome to contact me.

7. How Long Your Information Is Kept

I retain personal information only for as long as necessary for the purposes described and to meet legal or professional obligations.

  • Clients
Records (including basic contact details, booking information, and relevant session notes) may be kept for up to 5 years for legal, accounting, administrative, and professional record‑keeping purposes.

  • Exploration participants
Registration information and relevant health data are retained only as long as needed to administer the Exploration and meet legal or administrative obligations.

  • Enquiries or applications (no engagement)
If we do not end up working together, enquiries and applications are normally deleted within 6 months, unless you request earlier removal.

  • Newsletter subscribers
Your information remains on the mailing list until you unsubscribe. You may do so at any time by using the unsubscribe link in emails or by contacting me directly.

8. How Your Information Is Protected

I use reasonable technical and organisational measures to protect your information from unauthorised access, misuse, alteration, or disclosure. This includes:

  • Secure website infrastructure

  • Password‑protected devices and accounts

  • Trusted service providers with appropriate security standards

  • Confidential handling of sensitive information

  • Limiting access to your data to me (and any assistants, if applicable, who are bound by confidentiality)

No online system can guarantee absolute security, but I take every reasonable step to safeguard the information you choose to share.

9. Your Rights

Depending on your location and applicable privacy laws (such as GDPR), you may have the right to:

  • Access the personal information I hold about you

  • Correct inaccurate information

  • Request deletion of your information (subject to legal and professional obligations)

  • Withdraw consent where processing is based on your consent

  • Object to certain types of processing, where applicable

  • Request a copy of your data (data portability), where applicable

  • Lodge a complaint with your local data protection authority

In Cyprus, the supervisory authority for data protection is the Office of the Commissioner for Personal Data Protection (www.dataprotection.gov.cy).

To exercise any of these rights, email me at: nesh@embodiedwisdompartners.com

I will respond as promptly as reasonably possible.

I may update this Privacy Policy from time to time to reflect changes in services, legal requirements, or operational practices.

When updated, the effective date at the top of this page will change. Significant updates may also be communicated through the website or by email where appropriate.
